Auto & ad-hoc credit card processing

Don't you just hate sitting there for 30 minutes every day, doing nothing but punching credit card numbers and expiry dates into an EFTPOS machine, just to take payments? And then the phone rings or a customer walks in - and you come back to finish the job but forgot where you were up to? All of those problems are gone when you add credit card processing to StorMan.

 

Just sign-up for a merchant account with our provider Advam, enter their special login details into StorMan & you can begin processing credit card transactions using the internet. The best thing is that it's integrated into StorMan - so you won't need to re-enter credit card details into Customer accounts or anything like that.

 

Our credit-card processing system lets you process credit card transactions both automatically (every time a customer is due for rent the system will process the card for you and receipt it in StorMan - it processes about 1 credit card every 3 seconds) and ad-hoc (when a customer comes in and just wants to buy some bait or ice using their credit card).

Auto & ad-hoc SMS (mobile phone text messaging)

Let's pretend 10% of your 500 customers are late payers... that's at least 50 phone calls to chase arrears! At an average of 1 minute effort per call, that's almost an hour you've wasted chasing arrears! And if you leave a message on the answering machine, will they even call you back - or will you just have to chase them again next week? Forget it, it's hopeless!

 

Thankfully, all is not lost. With StorMan's integrated SMS service, you can get a computer to do the annoying leg-work for you. Our integrated SMS service can easily be setup to send a text message to customer mobile phones when they become overdue - you can even personalise it with their name, balance owing, and so on. Auto Direct Debits

Still on that whole integration thing, StorMan has built-in Direct Debit processing, which allows the system to grab the correct funds from a customer's bank account when they are due to pay their next lot of rent. All the customer needs to do is sign a form (that's integrated too) and provide you with their bank account information and once you've got the info in StorMan, it will process the Direct Debits automatically when due - very similar to our Credit Card processing system.

 

Direct Debits will work with any of our other integrated services, including Credit Card processing - so you won't need to install anything else - you'll just need an Advam Merchant Account and the rest, as they say, is history!

Access control system support

StorMan is able to communicate with most popular gate system programs... meaning that when a customer hasn't paid their bill, the gate system software can automatically be setup to deny them entry! (you'd be amazed at how this speeds up your arrears-gathering processes).

 

Gates can also be opened and closed from within the StorMan program, and gate entries and exits (even door opens & closes, if supported) are logged against customer accounts - so you'll always know what's happening in your facility - any time of the day or night.

Automatic customer archiving

StorMan always keeps all customer data - forever. So really, customer archiving is always active and running within the program. Once a customer moves out, their details remain in the system automatically, and get set as "non-active"; yet you can always find them using various search tools.

 

The beauty of automatic archiving is that you can market to previous clients using many of our powerful mail-merge tools & marketing reports. Should an old customer move back in again, all of their contact details can be populated from previous data automatically. Furthermore, if they were a bad payer or dirty clients, you can also view this type of information if it was stored in the database previously.

Send invoices by email

Email is free, so why not make use of it? StorMan has integrated email invoicing - which means your invoices can be in your customer's virtual mailboxes seconds after you generate them, as a PDF file attachment.

 

Invoices can be either generated & sent automatically on the fly during what we call "Daily Processing", or on an ad-hoc / per-customer basis if you need to. Email invoicing only requires an email address and an internet connection at the facility... the rest is built right into StorMan and doesn't cost anything extra to implement.

Integrated website payments

Your staff might only work from 8am - 5pm, but so do most other people... so how does one go about accepting payments after hours? Easy... just setup StorPay - our secure website payments service. StorPay lets your customers pay their berthing bills online using their credit card. Payments are automatically reconciled into StorMan and are processed against the correct account, so no manual data-entry is required!

 

While StorPay is hosted on our secure payment-processing server, the payment pages look, feel & operate like the rest of your website - so customer's don't get confused or lost. All you need to do is provide us with a template for the web pages (so we can design StorPay to look like the rest of your site), and give your web developer a special link to our StorPay page for your facility.

Integrated online backups

Multiple billing plans

In StorMan, it's the Billing Plan that defines how often a customer gets billed, whether they get a discount, whether the discount gets removed upon early termination of a longer billing plan (e.g.: a 12-month stay) and so on.

 

Our Billing Plans are very flexible - you can have as many as you like, they can do weekly & monthly rates, provide discounts based on a percentage or a fixed-rate, remove discounts if the customer breaks a contract, and automatically revert back to another plan at the end. Clever huh?

Multiple notice plans

Notice Plans are a set of defined 'letters' (or notices) that are sent to customers when specific triggers are met - for example, when a credit card or insurance expiry date is coming up, when rent is late or when an invoice is due.

 

StorMan allows for unlimited Notice Plans - which is great, because you might not like to tell your Government customers that they're about to be locked out of their berth, just because they've taken a little longer to pay this month... whereas that might be fine for your standard Residential customers.

 

Notice Plans are incredibly flexible, and are made up to letters (print & post), email and SMS text messages (mobile phones)... or all three at once, if you want to.

Automated rental increases

Why spend hours increasing rent prices based on occupancy levels when StorMan can do it for you? Using our Dynamic Rent Control function, you can automatically increase or decrease the rental price based on your occupancy levels. As levels are analysed daily, you can always be assured of accurate figures and thus, accurate adjustments.

 

Using our Rent Increase Wizard, you can also increase or decrease rent rates across the board based on a custom formula system... for example, apply the raise to all clients with 2 or more berths, that are not Government customers. Real-time data syncronisation (between site & head office)

Our top-of-the-line MultiView product synchronises data between your sites and head office in real time - meaning both ends of the chain have the most up-to-date information at all times. Should the internet go down, both ends can continue to use the program as normal; any syncronisation data will simply queue and wait for the internet to become active again.

 

By using a replication system that works both ways, larger companies may wish to employ a centralised call centre to take reservations and enquiries - call centre staff can even take payments for any facility, thanks to the MultiView replication & syncronisation product.
